Administrative Professional 3 Job Summary

Applies a thorough understanding of company-wide and departmental operations in order to consistently provide high-level professional administrative support. This position is responsible for day-to-day activities that support company priorities and uses initiative to determine the approach or action to take in non-routine situations. Responsible for interpreting and adapting guidelines, including unwritten policies, precedents, and best practices to handling fast changing and multiple administrative priorities. Regarded as a peer leader amongst company-wide administrative professional team.


Essential Functions (primary functions and/or reasons the job exists in order of importance)

  • Coordinates administrative details and performs clerical functions, including scheduling meetings, following up on requests from leaders, coordinating travel and logistics, clarifying and communicating leadership messages, expectations and priorities, etc.
  • Utilizes exceptional communication skills and focuses on details to ensure that information is clearly communicated and that tasks are accurately completed. Handles daily responsibilities with a “no-task-too-small” approach. Works well independently, but is still flexible enough to be directed, as needed.
  • Skillfully manages multiple leader calendars in a constantly changing work environment. Prioritizes and manages conflicting appointments using sound judgement to streamline daily, weekly, and monthly recurring calendar events.
  • Professionally responds to internal and external inquiries (including those from the office of the Group Leader and other senior business leaders) in a courteous manner. Provides accurate and prudent information, articulates priorities, serves as scheduling gatekeeper, and filters matters to other staff members/departments as appropriate.
  • Serves as a department/unit liaison, acting as link between company leadership, department staff, other business units, customers and guests to ensure smooth and efficient operations, including during times of leadership absence/change.
  • Professionally answers, screens, and directs telephone calls and other correspondence from leaders, employees, customers, agents, vendors, contractors, etc.
  • Maintains and applies thorough understanding and working knowledge of department and company-wide policies/procedures, past practices, and ethical/cultural standards to complete work assignments.
  • Applies past experience to make situational judgment and utilizes diplomacy when handling situations, materials, files, and communications of varying priority/sensitivity. Has access to confidential content, including salary and personnel records, and private company information.
  • Researches and prepares electronic and paper materials, including proposals, reports, presentations, data, and technical analysis in support of strategic and operational priorities. Proofs details for accuracy and makes edits (correcting typos, incorrect formulas, format issues, etc.) as needed.
  • As directed, works in tandem with the other administrative professionals on projects, Board materials, enterprise presentations, cross-functional initiatives, and events. Assists with training and orienting new administrative professionals and act as back-up for those positions.
  • Takes meeting notes, transcribes dictation, and prepares correspondence (including typing letters from scratch and/or from handwritten notes, memoranda, reports, etc.) for Senior Leaders.
  • Utilizes and maintains skillful knowledge of standard office equipment, including personal computers and appropriate software packages (including PeopleSoft HRMS, budgeting software, Microsoft Office Products, etc.), phone systems, scanners, copiers, telefax machines, dictation equipment, etc. Troubleshoots issues and arranges technical support as needed. Makes recommendations for purchases/repairs of equipment and maintains/orders office supplies.
  • Responsible for all other day-to-day administrative duties as needed, including incoming and outgoing mail, filing, greeting and assisting guests, acting as courier and/or department representative, etc.
  • As directed, may be responsible for administrative or support-level duties specific to assigned business unit or department.
  • Travels occasionally in order to participate in special assignments, training, and/or travel between office locations.
  • Maintains awareness, understanding and compliance with the Bank's internal policies and procedures, laws and regulations appropriate for this position.
  • Provides assistance in response to regulatory and internal/external audit requests.


Desired Qualifications/Experience/Certification/Education (in order of importance)

 

  • 5+ years of administrative professional experience in an office setting with increased responsibilities.
  • Experience and skill in business English, spelling and punctuation, math, reading and communications, as well as an understanding of general business flows, procedures, and systems as typically acquired via High School Diploma or General Education Diploma (G.E.D.) and/or college level course work or commensurate work experience.
  • Advanced personal computer, word processing, typing and/or keyboard skills, including proficient use of software packages (including but not limited to Excel, Word, PowerPoint, Access, Outlook, Adobe, Cognos, etc.)
  • Excellent oral, written, typing, interpersonal, and organizational skills, resulting in the ability to communicate with individuals at all levels of the organization.
  • Experience performing duties with speed and accuracy without immediate and constant supervision.
  • Ability to learn, interpret, and apply company policies/guidelines to resolve conflicts.
  • Ability to maintain positive relationships and use good judgement to recognize scope of authority.
  • Experience handling confidential and sensitive information/situations with ability to maintain professionalism and diplomacy.
  • Valid driver’s license and a driving record that conforms to company standards.


Physical Requirements (specific to the role)

  • The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
  • Ability to work effectively in an office environment for 40+ hours per week (including sitting, standing, and working on a computer for extended periods of time).
  • Ability to communicate effectively in a collaborative work environment utilizing various technologies such as telephone, computer, web, voice, teleconferencing, scanner, e-mail, etc.
  • Ability to read standard typed documents.
  • Ability to physically and accurately file.
  • Ability to travel as required.
