Event Planning Unit Leader  Job Summary

Salary Range: $78,879.00-$90,711.00-$102,543.00

 

 

The Event Planning Unit Leader is responsible for leading the Corporate Event Planning operations. This includes oversight for the planning, logistics, budgeting, production, and measurement and reporting for on-site and off-site corporate events. The Leader is responsible for managing Westfield’s enterprise event schedule including creation, planning, and communication of the corporate calendar. Also, responsible for managing Westfield’s entertainment investments (e.g. Quicken Loans Arena, Progressive Field) including optimal use of facilities, all logistics planning and coordination, budget management, and analysis and reporting. The Leader role develops and maintains strategic relationships with key stakeholders and business unit partners to leverage resources, achieve event objectives and maintain alignment. Collaborates and partners with other Hospitality operations leaders and other business unit leaders to ensure alignment and coordination of resources, timing, and priorities.

 

Essential Functions (primary functions and/or reasons the job exists in order of importance)

1. Leads the Corporate Event Planning operations including oversight for the planning, logistics (on site and off site), budgeting, production, and measurement and reporting of events. Target audiences for events include agents, strategic business partners, Westfield employees, civic organizations and retail customers.

2. Leads development, facilitation and management of Corp calendar and entertainment investments in alignment with corporate initiatives. 

3. Responsible for managing Westfield’s entertainment investments (e.g. Quicken Loans Arena, Progressive Field) including optimal use of facilities, all logistics planning and coordination, budget management, and analysis & reporting. 

4. Collaborates with enterprise leadership to develop and implement strategic, annual entertainment plans focused on identifying target audiences and site-specific logistics leveraging investment asset.

5. Establishes and maintains strategic relationships with key stakeholders and business unit partners to leverage resources, achieve event objectives and maintain alignment.

6. Responsible for the prudent management of business expenses and financial management of the team. This includes budget planning, adherence to budgets and providing effective status updates.  Collaborates with Business Administration Team on metric collection, analysis and reporting for Corporate Event Planning and overall Hospitality Operations business unit including business return on investment and guest satisfaction.

7. Develops, implements, and communicates annual and long-range business and workforce plans in support of corporate initiatives.

8. Performs human capital management responsibilities including employee selection, performance management, coaching and development. Manages priorities, workload distribution and removes barriers that impede progress. Completes all personnel, salary administration and reporting duties. Performs operational responsibilities that drive team performance including planning, execution, process improvement and best practice sharing.

9. Collaborates with other Hospitality leaders in setting direction and managing overall operational performance for the business unit. Actively participates in regular, ongoing and project based business unit meetings.

10. Leads and/or participates in project teams and initiatives across Corporate Hospitality. Partners with other hospitality leaders and employees to ensure the success of projects in support of corporate initiatives.

11. Represents Westfield Group within the community and in the Hospitality Industry for the purposes of representing Corporate Hospitality and remaining current with industry trends.

12. Travels as needed in order to perform other essential functions.

 

Desired Qualifications/Experience/Certification/Education (in order of importance)

1. Minimum of five years’ of experience in the event planning/corporate event planning, hospitality and/or marketing industry.

2. Three or more years of successful leadership experience including experience coaching and developing direct reports.

3. Strong operational management skills including experience developing and implementing operational processes, along with defining strategic objectives and metrics related to event planning

4. Strong oral, written, and interpersonal communication skills including the ability to interact internally with all levels of employees and leadership throughout the organization and externally with customers and vendors.

5. Proven financial and budgeting acumen including experience managing budgets, analyzing results, maintaining costs and meeting reporting deadlines.

6. Experience maintaining a strong commitment to customer satisfaction.

7. Experience being accurate with a focus on attention to details.

8. Experience being adaptable and resourceful in various situations.

9. Experience in capturing, analyzing and communicating operational and service metrics.

10. Bachelor’s degree or commensurate experience.

11. Valid driver’s license and a driving record that conforms to company standards.

 

Physical Requirements (specific to the role) 

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. 

• Ability to lift 40 lbs.

• Ability to work evenings and weekends

• Ability to work effectively in an office environment for 40+ hours per week (including sitting, standing and working on a computer for extended periods of time).

• Ability to communicate effectively in a collaborative work environment utilizing various technologies such as:  telephone, computer, web, voice, teleconferencing, e-mail, etc.

• Ability to travel as required.

• Ability to operate an automobile within the parameters of the driving policy.
