Premium Finance Administrator Job Summary
Salary Range: $29,967.00-$34,463.00-$38,958.00


The Premium Finance Administrator is responsible for performing the administrative tasks of the Premium Finance Team, managing delinquencies of the Premium Finance accounts and facilitating the return of unearned premiums on cancelled policies. In addition, the Premium Finance Administrator will help with periodic reporting requirements and data entry.

 

Essential Functions (primary functions and/or reasons the job exists in order of importance)
1. Assists Premium Finance Team by organizing and completing administrative tasks to maintain efficiency.  Maintains and uses sound knowledge of general office, department, company, and related operations.
2. Monitors delinquency reports for the timely mailing of intent to cancel forms.  Prepares and mails cancellation notices to the appropriate parties.  Monitors the return of unearned premium from the insurance carrier and of pro rata commissions from the agencies.
3. Reviews status of delinquent accounts, initiating collection action by contacting each account and resolving delinquent status
4. Makes initial contact on charged-off accounts to arrange for deficiency payments
5. Initiates appropriate follow-up action on delinquency notices and other mailed notices returned as undeliverable.
6. Researches disputed delinquent account balances and corrects any posting errors as needed.
7. Participates in weekly Past Due meetings with Premium Finance Manager and reports status of all delinquent accounts assigned.
8. Assists Premium Finance Manager with monthly reporting, as requested.
9. Maintains working knowledge of and utilizes standard office equipment including personal computers and appropriate software packages (including PBS and Microsoft Office products), copiers, telefax machines, etc.).
10. Organizes and maintains control of office files, correspondence, supplies, mailing, delinquency, and agency and customer distribution lists.
11. Maintains security of customer files and safeguards sensitive company information.
12. Enters data both electronically and by hand, verifies accuracy, maintains records, and distributes reports and documents.
13. Interacts and shares information with other department team members as directed.  May correspond with other departments regarding important information and scheduling.
14. Achieves the high standards of quality, production, cooperation, and service set by Westfield Bank for our employees, guests and customers.
15. Maintains awareness, understanding, and compliance with the Bank's internal policies and procedures, laws, and regulations appropriate for this position. 
16. Provides assistance in response to regulatory and internal/external audit requests.
17. Travels occasionally in order to participate in special assignments, training, and/or travel between office locations.

 

Desired Qualifications/Experience/Certification/Education (in order of importance)
1. 1 or more years of business administrative experience in one or more of the following areas; customer service, collections, or accounting.
2. Proficient use of various office and computer equipment and software packages, including, but not limited to, Microsoft Office products such as Excel, PowerPoint, and Word; Cognos; Adobe Acrobat; and so on.
3. Excellent oral, written, typing, interpersonal, and organizational skills, resulting in the ability to interact with multiple levels within the organization.
4. Ability to maintain confidentiality and exercise discretion and sensitivity.
5. Ability to work with moderate supervision, meeting deadlines and working in a fast-paced environment.
6. Associates Degree or equivalent experience.
7. Valid driver’s license and a driving record that conforms to company standards.

 

Physical Requirements (specific to the role) 
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. 
• Ability to work effectively in an office environment for 40+ hours per week (including sitting, standing, and working on a computer for extended periods of time).
• Ability to communicate effectively in a collaborative work environment utilizing various technologies such as telephone, computer, web, voice, teleconferencing, scanner, e-mail, etc.
• Ability to read standard typed documents.
• Ability to physically and accurately file.
• Ability to travel as required.
