Process Service Manager Job Summary 


The Process Service Manager assists with managing day-to-day operations by ensuring the delivery of effective and efficient Managed Mail Services. Key areas of focus include managing inventory, maintaining strong vendor relationships and providing excellent customer service.  This role ensures compliance with postal requirements/standards, maintains company policies and procedures, and collaborates/participates in ongoing initiatives and projects. 


Essential Functions (primary functions and/or reasons the job exists in order of importance)

1. Assists with managing day-to-day operations; ensuring that processes and services are consistently delivered, high-quality, on-time and meet business objectives. 

2. Assists with guiding processes and monitoring organizational/vendor relationships. Works to identify opportunities to improve utilization and implement changes, as directed. 

4. Monitors continuous inventory and inventory processes for fulfillment needs and requirements. 

5. Collaborates with the Managed Service Leader and Managed Mail Services to solve problems.  Creates collaborative solutions and optimizes business requirements. 

6. Serves as a liaison between Westfield and the Managed Mail Service vendor, ensuring business needs are met by the vendor through documented Service Level Agreements (SLAs), including managing changes and/or new business requirements. 

7. Strives to create customer service excellence with internal business partners directly through provided services: Measurements include:

a. SLAs, metrics, and ongoing feedback to ensure accurate and timely completion of mail services. 

b. Gathering, organizing, and analyzing performance data and results to identify and report performance, trends, and opportunities; making recommendations regarding areas of improvement. 

8. Collaborates with internal/external business partners seeking and/or providing assistance or input as needed to support corporate strategies that are in the best interest of the company.   Maintains effective and ongoing communication with internal business partners and vendors.  

9. Assists leader with business planning, processes, guidelines, and budget. This may include invoice approval, as well as the monitoring and replenishment of various accounts, as assigned.  May also assist leader with identification, recommendation, and implementation of approved process improvements.    

10. Remains current on industry changes, advancements in technology, and organizational needs to communicate, develop, and incorporate best practices.  Shares new information, best practices, and processes. 

11. Travels as needed in order to perform other essential functions. 


Desired Qualifications/Experience/Certification/Education (in order of importance)

1. 3+ years of experience in mail room operations.   

2. 2+ years of experience managing vendors and vendor accounts.

3. 1+ years of experience multi-tasking and prioritizing work assignments to ensure deadlines are met.

4. 1+ years of experience in inventory management.  

5. Strong oral, written, and interpersonal skills resulting in the ability to interact with all levels of management and employee population.

6. Experience with Microsoft Windows, Outlook, and Excel or transferable software packages.

7. Valid driver’s license and a driving record that conforms to company standards. 

8. High School diploma, GED, or demonstrated commensurate experience.


Physical Requirements (specific to the role)

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.  

• Ability to work effectively in an office environment for 40+ hours per week (including sitting, standing, and working on a computer).

• Ability to communicate effectively in a collaborative work environment utilizing various technologies such as:  telephone, computer, web, voice, teleconferencing, e-mail, etc.

• Ability to travel as required.

• Ability to lift and move a maximum of 60lbs.

• Ability to operate an automobile/van within the parameters of the driving policy. 

• Ability to use a hand/power truck.
