Receptionist Job Summary

  • $14.45 per hour
  • Must have availability to work 1st and 2nd shift, holidays, and weekends
  • Position will average 28 hours per week

Receptionist is responsible for greeting guests, creating and maintaining guest reservations, and operating booking and Point of Sale (POS) system at assigned location. The Receptionist provides Westfield Inn, Campus and Company information to guests. As assigned, Receptionist will perform various administrative and clerical duties as well as assist departments across business unit as needed. Assists with maintaining safety of guests and company employees.


Essential Functions (primary functions and/or reasons the job exists in order of importance)

1. Greets guests in a professional and friendly manner and responds to guest inquires via in-person, email or phone.

2. Creates, modifies and processes room reservations and group bookings.

3. Responsible for providing guests with accurate campus, event and company information.

4. Maintains an operating knowledge of hospitality operations systems and applications.

5. Prepares and maintains daily reports, billing details, reservations and various tracking spreadsheets.

6. Reports all information regarding guest room/locker room/facility issues to leadership in a timely manner.

7. Stocks, organizes and cleans front desk, lobby area, and other assigned areas. Tracks inventory of products.

8. Performs administrative support to hospitality departments and company as needed.

9. Maintains communications throughout shift with other team members to ensure accurate and timely room/facility upkeep. Communicates consistently with housekeeping to ensure coordination of room changes.

10. Collaborates and participates in department and business unit initiatives.

11. Assists others on the team as needed to ensure work is completed and a high level of customer service is maintained.

12. Upholds Hospitality Universal Standards and Westfield’s quality standards at all time.

13. Periodically assists, as directed, with other facility operations including but not limited to cleaning of rooms, assisting food and beverage areas, and other general facility upkeep/cleaning.

14. As assigned, may be required to drive Westfield Inn Shuttle Vehicle (e.g. car, van, shuttle) to transport guests between Home Office campus facilities. Completes all related training and maintains compliance with all safety/operating procedures.


Desired Qualifications/Experience/Certification/Education (in order of importance)

1. One or more years’ experience in an office or similar position with clerical responsibilities.

2. A strong focus and commitment to customer satisfaction through guest service and communication skills.

3. Working knowledge of Microsoft Windows and Office (Excel, Word, and Power Point) or other transferable software.

4. Strong attention to detail.

5. Ability to multi-task and prioritize work assignments.

6. Experience working independently as well as within a team environment.

7. High School diploma, GED or commensurate experience.

8. If assigned to operate Inn Shuttle, required to possess a valid driver’s license and a driving record that conforms to company standards.


Physical Requirements (specific to the role)

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

* Ability to work effectively in an office environment for 40+ hours per week (including sitting, standing, and working on a computer for extended periods of time).

* Ability to communicate effectively in a collaborative work environment utilizing various technologies such as: telephone, computer, web, voice, teleconferencing, e-mail, etc.

* Ability to stand for long periods of time.

* Ability to stoop, bend, crouch, reach, handle, and lift objects weighing over 40 pounds during 8-hour shift.

* Ability to use a vacuum cleaner and carpet cleaning equipment as required. This may include moving of furniture.

* If assigned to operate Inn Shuttle, ability to operate a vehicle (e.g. car, van, shuttle) within the parameters of the driving policy.
